Scope and Contents of the Records

This collection is comprised of four series relating to the operations of the Office of Public Relations. The bulk of the material consists of press releases, ephemera, notes, photographs, agreements, and guest lists pertaining to events held and sponsored by the Clark. Events and trips created for Clark members include seminars, tours, and trips to national and foreign cultural institutions. Notable among the files are those used for planning the 25th anniversary celebration in 1980.

Mary Jo Carpenter’s records cover a wide array of administrative functions of the Public Relations Office. The documents cover fundraising, membership to professional organizations such as the American Alliance of Museums and the New England Museum Association, annual reports, and files concerning the running of the Café. Records concerning outward-facing activities of the Clark such as ads, publicity, and educational publications and seminars are also included. The photographs in this collection span 19 years of the Clark’s history. They document events and trips, staff events, museum programming, and construction. Of note are photographs of the 1992 event “La Fête Lautrec” and a staff party dedicated to Rafael Fernandez. Many key members of the Clark’s staff, including Mary Jo Carpenter, can be found in this series. Events represented in the series include galas, lectures, and concerts.

Abstract

This collection contains event and member trip files, photographs, and records from the former director of the Office of Public Relations, Mary Jo Carpenter.

Arrangement of the Records

This collection is arranged into four series.

• Series I: Members’ Trips and Events, is arranged chronologically.

• Series II: Public Relations Event Files, is arranged chronologically.

• Series III is divided into Subseries A: General, arranged alphabetically; Subseries B: Fundraising, arranged alphabetically; Subseries C: Professional Organizations, arranged alphabetically; Subseries D: Ads, arranged chronologically; Subseries E: Annual Reports, not arranged in any particular order; Subseries F: Café, not arranged in any particular order; Subseries G: Publications, arranged chronologically; Subseries H: Publicity, arranged alphabetically; and Subseries I: Seminars, not arranged in any particular order.

• Series IV is divided into Subseries A: Photos 5 3/8 x 4 3/8 inches, arranged into subseries by subject; Subseries B: Photos 7 ½ x 5 1/4 inches, arranged into subseries by subject; Subseries C: Photos 10 ½ x 8 ½ inches, arranged into subseries by subject; and Subseries D: Photo Records, not arranged in any particular order.

Processing Information

In November of 2022 folders were reorganized and renumbered, and the data for 4 previously-distinct collections, labeled CAI ARC 2007.29, CAI ARC 2007.33, CAI ARC 2007.36, and CAI ARC 2008.09, were incorporated. The original contents of this collection, titled Members' Trips and Events, became Series I. Collections CAI ARC 2007.29 and CAI ARC 2008.09 were incorporated as Series II: Public Relations Event Files. CAI ARC 2007.33 was incorporated as Series III: Records of Mary Jo Carpenter. CAI ARC 2007.36 was incorporated as Series IV: Photograph Files.
