Scope and Contents of the Records

This collection is comprised of records pertaining to the development and functions of the Clark Institute Library, in addition to records from the office of the librarian. The bulk of the material consists of records from the first librarian, Michael Rinehart (1966-1987), as well as the following director, Sally Gibson (1987-1997). Some reports from Susan Roeper’s tenure (1997-2022) are also included, ending in 2006. The ledgers, visitor registers, and circulation cards found in the collection demonstrate early statistics tracking methods preceding the implementation of a fully digital system in 2010.

Series I: Ledgers, Registers, Circulation Cards, Bookplates, and Card Catalogues Material included within this series contains ledgers, which recorded financial and acquisition information, Registers that were used to track visitors to the library, circulation cards used to keep record of who books had been checked out to and to hold their place on the shelf to be returned later, this system was used before the digital system was put into place in 2010. Bookplates, which specify the volume are part of The Clark Art Institute Library, and card catalogues. These catalogues were used to detail the books held within distinct collections at The Clark. The card catalogues included within this series contain information on the rare or special book collections, including the Robert Sterling Clark Rare Book Collection, the Duveen Brothers Archive, and Junyboll Collection.

Series II: Records of Michael Rineart include documents regarding the initial development and administration of the Library. The bulk of the material is business and personal correspondence. The correspondents include other museums and libraries, national museum and library associations, Clark trustees, Rinehart's students, and Clark staff. Much of the correspondence deals with the development of the library collection through gifts, purchases, and exchanges with other libraries. The series also contains syllabi and course work for graduate courses taught by Rinehart, daily planners for the years 1977-1980, files on the hiring and evaluation of library staff, and financial records such as budgets, records of gifts, and drafts of annual report statements.

Series III: Records of the Librarian contains materials from Rinehart, Gibson, and Roeper. Each librarian would use and add to the files of their predecessor, resulting in folders with documentation spanning multiple tenures. This series contains correspondence with other libraries and institutions; library budgets, annual reports, and statistics; staff meeting records; policy handbooks and guidelines; research and reports on library projects and committees; and the records of several patron satisfaction surveys.

Series IV: Records of Susan Roeper This series contains records from Susan Roeper’s term as library director (1996-2022). Records within this series include administrative files such as correspondence, notes, ephemera, articles as well as appraisals for the Kalker house, and Burrows estate furniture being disposed of in 2008. Also included within this series is information on books used in both outside and institutional exhibitions before and during Susan Roeper’s time as Library Director, files include photographs, correspondence, appearance lists, bibliographic records, as well as transparencies, loan agreements, and condition reports. Records of acquisitions and book catalogues are held within this series. The acquisitions records include books and objects collected by the library from 1977-2008, and include the retirement acquisitions of Le Corbeau (The Raven) by Edgar Allen Poe, as translated by Stéphan Mallarmé and illustrated by Edouard Manet. The book catalogues consist of mostly artist books and rare books being printed and/or sold to institutions like the Clark. Each catalogue is unique and depicts multiple titles, artists, and organizations. Catalogues include volumes from Printed Matter, ReFLUX, Women’s Studio Workshop, Bound and Unbound, and others.

Biographical / Historical

The Clark Art Institute Library was established in 1962. In 1966, Michael Rinehart was hired as the librarian, taking over from a small staff tasked with acquiring requests and processing the recently obtained Duveen and Juynboll collections. Rinehart oversaw significant growth in the library, which had an initial amount of 238 volumes in 1962. The library was originally in the basement of the Institute until it was relocated to a newly built service building in 1964. In 1973 the library was expanded once again to its current location in the Manton Research Center.

Michael Rinehart, the first librarian of the Clark, is a graduate of Harvard University and the Courtauld Institute of Art. In 1962, he became the first librarian of the Biblioteca Berenson at I Tatti, Harvard’s research center located in Florence, Italy. During his time at the Clark Rinehart was editor-in-chief of the Répertoire international de la littérature de l'art (RILA), which later became part of the Bibliography of the History of Art (BHA). Rinehart also taught many graduate art history courses at Williams, using the Clark’s library as a resource and seminar space.

Sarah Ann “Sally” Gibson received her PhD in Library Science from Case Western Reserve University in 1974. She worked as an assistant dean, and later head, of the School of Library Science before moving to Williamstown in 1986 to work as an associate editor for the BHA. In 1987 Gibson was hired as the second librarian for the Clark, before retiring in 1996. Under Gibson’s direction, the Clark Library moved to expand public access and improve user services. Gibson co-wrote “Art Libraries and Information Services: Development, Organization, and Management,” published in 1996, alongside Lois Swan Jones.

Susan Roeper was director of the Clark from 1997 until 2022. Roeper was originally hired as a cataloguer in 1982, after completing her education at the University of Chicago. She worked in the Clark Art Institute library for forty years before her retirement in 2022. During her tenure she began building the Venice Biennale collection which is still being added to. This special collection includes books, as well as objects such as hats, tote bags, and other ephemera. Roeper also wrote and published the book; Book Illustrations from Six Centuries in the Library of the Sterling and Francine Clark Art Institute, with the Clark in 1990. She is also a featured contributor on many other publications including; Art’s Biggest Stage: Collecting the Venice Biennale, 2007-2019, and The Clark: Selections from the Sterling and Francine Clark Art Institute, 1996, among others.

Elements of this collection are representative of a time in the library’s history that predates the implementation of digital systems. Visitors registers would require library patrons to physically sign in, recording the date and time of their visit, their name, and their organizational affiliation. Circulation cards contain information concerning the item in use, minimal patron identification, and dates of use. The cards would often be used as placeholders for checked out books until their return.

Abstract

The collection, Records of the Clark Art Institute Library, contains records complied from the Clark Art Institute Library during multiple directorships. The collection contains ledgers, planners, card catalogues, exhibition material, as well as general administrative records such as correspondence, newsletters, notes and other ephemera. Also within this collection is material accessioned from the library in 2010. This material includes annual reports, statistics, and Bibliography of the History of Art (BHA) information.

Arrangement of the Records

This collection is divided into four series:

• Series I: Ledgers, Registers, Circulation Cards,Bookplates, and Card Catalogues is arranged into five subseries, -Subseries A: Ledgers, not arranged in any particular order. -Subseries B: Visitors Registers, arranged chronologically. -Subseries C: Circulation Cards, not arranged in any particular order. -Subseries D: Bookplates, not arranged in any particular order. -Subseries E: Card Catalogues, not arranged in any particluar order.

• Series II: Records of Michael Rinehart is arranged into two subseries, -Subseries A: Library Records, arranged alphabetically. -Subseries B: Personal Records, arranged alphabetically.

• Series III: Records of the Librarian is arranged into three subseries, -Subseries A: Administrative Records, arranged alphabetically. -Subseries B: 2010 Accession, arranged chronologically by topic. -Subseries C: Planners, arranged chronologically.

• Series IV: Records of Susan Roeper, is arranged into five subseries -Subseries A: General Administrative Records, organized chronologically. -Subseries B: Exhibitions, organized chronologically. *Institutional Exhibitions *Outside Exhibitions -Subseries C: Acquisitions, organized chronologically. -Subseries D: Book Catalogues, organized chronologically. -Subseries E: Oversize Material, organized by item.

Custodial History

Michael Rinehart's material was transferred from the Office of the Librarian in August, 2007. A portion of the records was placed in Storage A sometime after 1980.

The records in Series III, aside from Subseries C: Planners, were housed in the office of the Librarian until January 2008.

The 2010 Accrual was transferred from the office of the Librarian, August 2010.

Processing Information

This collection is the result of the merging of CAI ARC 2007.38 Library Records of Michael Rinehart, 2007.41 Library Visitors Registers, 2008.02 Records of the Librarian, 2008.03 Library Acquisitions Ledger, 2010.03 Library Circulation Cards, and 2013.06 Bookplates. A group of planners acquired from Susan Roeper’s materials from her retirement in 2022 was added as a subseries. The collections were merged in order to provide a comprehensive overview of library activities.

Series III: Records of the Librarian were processed in January 2008. Staples were removed and materials were re-housed in acid-free folders and boxes. Subseries C: Planners, was added in 2023 from Susan Roeper’s materials.

An accrual was processed in August 2010. Materials were rehoused in acid-free folders and boxes.

Susan Roeper’s records, which were taken from the office of the librarian, were added to the collection CAI ARC 2008.02 to become Series IV in June 2024.
